  1. Introductory meeting with Housing

    Following are the notes from our meeting with Housing about their potential Fleet Management Plan. The meeting took place on 6/13/2025 at 9 a.m.

    • We did introduction

    • We are looking for a single point of contact
    • Not reinvent the wheel - not dictate
    • What are we trying to do?
    • 12 year replacement plan
    • What is the useful life of the vehicle
    • Fuel consumptions, idle time,
    • Conversations about what would be the correct path
    • Right-sizing the application
    • We need to purchase a vehicle - what type of vehicle can be purchased
    • Matt Brown -
      • They make some purchases of heavier duty trucks based on what the tasks are, the weight of those things
      • Some small transit vehicles
        • Ford transit
      • They are looking for a huge number of things
      • Availability, right sizing, - have some issues with that
      • They are retiring 20 year old vehicles or more
      • They are finally out of pre-2000s vehicles this FY
      • They are now updating
    • How we might interact with these goals= planned rotation vs force rotations
      • Deterioration of these vehicles

        • The prices have skyrocketed
        • Digging deep - if we have a process in place.
        • If this is the goal, we can do what we can
        • What is the most feasible thing. The university is not going give us so much money to buy whatever we want
        • Housing is the first department we are reaching out

      • List and come up with an operation plan
      • For one of the fleet operation or all 4 fleet? Evolving plan
      • Create a Teams Channel
      • Give them a skeleton plan to give to Housing
        • They will fill in what they can do - Based on the F&S Green Fleet Plan
        • The objectives we came up with were through NAFA and based on F&S fleets
      • Maybe a follow up in the end of July 2025

  2. Update from 8/19/2024

    Associated Project(s): 

    Morgan, Pete, Shawn, Neil, Sarthak, Stacey, and Quinn met on 8/19/2024 to discuss the current status and next steps for the Fleet Replacement Plan. F&S Transportation & Building Services (TBS) team is working on a fleet audit tool, which is expected to roll out (pilot) by the end of fall 2024 semester. Sarthak, Shawn, and Neil will reach out to Prairie Research Institute (PRI) for another discussion about the Fleet Replacement Plan for their fleet. Following the audit tool's roll out, we will begin reaching out to other units on campus.

  3. Vehicle Organization and Department Outreach

    Shawn Patterson gathered a current vehicle and equipment record from Facilities and Services. Sarthak Prasad, Olivia Messerges, and Shawn Patterson met on December 21, 2023 and January 18, 2024 to discuss the vehicle records. Olivia identified departments with five or more vehicles and Sarthak will draft an email to departments requesting that they appoint a fleet administrator. See the attached meeting notes, excel file, and summary of the excel file. 

  4. Transportation iCAP Team Meeting 2/24/2023

    The Transportation iCAP Team met on Friday, February 24th, 2023 to hear about upcoming research on electric vehicles on campus, discuss updates to bike storage projects, and discuss actions to promote fleet replacement plans on campus.

  5. Transportation iCAP Meeting 10/10/2022

    The Transportation iCAP team met on October 20th 2022 to discuss the team's presentation for the upcoming sustainability celebration, review the list of priorities assigned to the team for the year, and discuss progress on fleet replacement plans and the potential for university-wide clean vehicle purchasing policies.

  6. Introductory conversation with Prairie Research Institute (PRI)

    On May 2, 2022, F&S staff and the Transportation iCAP Team representatives met with Prairie Research Institute (PRI) to provide a background to the iCAP objective of Fleet Replacement Plans. The PRI team was very interested in this project, and confirmed that they will have discussions internally about how to move forward. Sarthak Prasad will follow up with PRI in July for any update.

  7. Transportation iCAP Team Meeting 3/31/2022

    The Transportation iCAP team met today 3/31/22 to discuss reaching out to the Prairie Research Institute to help establish a formal fleet replacement plan, the ongoing walkability audit and mode choice survey, and the ongoing Campus Landscape Master Plan Public Forums.

  8. Meeting with F&S about Fleet Replacement Plan Development

    In February, Tyler Swanson, Allison Hefner, and Sarthak Prasad of the Transportation iCAP team met with Pete Varney at F&S to discuss the implementation of the F&S Fleet Replacement Plan and what lessons have been learned via the process. The team hopes to use information from the conversation to help other campus units develop their own fleet replacement plans.

  9. Transportation Winter Meeting

    The Transportation team met briefly on December 3rd, 2021 to discuss a recommendation of members for a potential Electric Vehicle Task Force, and a potential recommendation for the Fleet replacement plans. Sarthak Prasad also gave a brief update on the Commuter Program which appears to be on track.

  10. October Transportation iCAP Team Meeting

    The Transportation iCAP team met on Friday, October 29th for its monthly meeting. The team discussed the plans for the proposed Commuter Program, the Walkability Audit, and the Campus Transportation Advisory Committee. Additionally, steps will be taken to pick up the Fleet Replacement Recommendation and the EV Task Force Member Recommendation.

  11. EV Procurement Law in Illinois

    EO 2108, ELECTRIC VEHICLE PROCUREMENT. The executive order provides that the state shall: (1) develop and implement a program for procurement of electric and other low emission or zero emission vehicles for state purposes; (2) establish a State Fleet Working Group convened by the Department of Central Management Services and composed of representatives from the Department of Transportation, the Illinois Environmental Protection Agency, and the Illinois Commerce Commission; (3) set forth the responsibilities of the working group; (4) direct the Department of Central Management Services, in conjunction with other state agencies, to develop a plan to install electric vehicle chargers on state property; and (5) direct the Illinois State Board of Education to collaborate with the Department of Transportation and the Illinois Environmental Protection Agency to develop tools and provide information to assist school districts in assessing the benefits and costs of zero emission bus options when replacing school buses. The executive order became effective 22 APR 21.

  12. 4/16/21 Transportation SWATeam Meeting

    Attached are the meeting minutes for the Transportation SWATeam meeting on 4/16. The agenda is as follows:

    The Bike Census Spring 2021 Event on April 28, an event which seeks to accurately portray biking on the CU campus, is searching for volunteers. No prior experience is required; just show up to the VIRTUAL Training Session at 9AM and go from there!
